New Payment Link on Invoices

In Version 2011 Intuit has added a new Payment Link on Invoices.  If you use Merchant Services and email your invoices AND this is a nice add-on.  BUT… if you don’t, it’s real irriating.

This is an advertisement for Intuit’s PaymentNetwork.  These links can be removed ONLY by the QuickBooks Administrator in single user mode; by going to the Edit menu -> Preferences -> Payment Preference -> Company Preferences tab -> and making sure that BOTH the “Show payment link on emailed invoices” and “Show payment link on printed invoices” options are UNchecked

Turn OFF Annoying Intuit Pop Ups

You’ve probably noticed all those pop-up advertisements (messages) from Intuit services, especially after an new upgrade.  Now you can turn them OFF.

Go to the Edit menu -> Preferences -> click on General Preferences -> and in the My Preferences tab check the option to “Turn off pop-up messages for products and services” and then save your selection by clicking the OK button.  You will need to do this on each computer that QuickBooks is installed on.

Turn OFF the QB Live Community Window

Everytime you open QuickBooks® it opens the Live Community Window.  And what do you do?  Turn close the window.  It’s easy to turn it off (it’s available under the Help menu).

Go to the Edit menu -> Preferences -> click on Desktop View -> and on the My Preferences tab UNcheck the option to “Show Live Community”.  Again, this is something that must be done on each computer that QuickBooks® is installed on.

New! Advanced Inventory in Enterprise

Intuit introduced Advanced Inventory with Enterprise 2011.  What’s that really mean?  MULTIPLE LOCATIONS for inventory.  You can now stock the same item in multiple locations without having to add the same item over and over again per location.  It works WONDERFUL!

You’ll be able to see the total quantity on hand as well as the quantity per location.  You can enter Purchase Orders to be shipped to a location, or receive it in one location and transfer it to the others.

Get Ready for W-2′s

It’s almost that time of year again – W-2′s!

Now is the time to verify that you have the correct information for all of your employee’s.  With your next paycheck include a note that asks all employee’s to verify that you have their correct Name, Social Security Number & addresss.  It’s much easier to correct now instead of after W-2′s have gone out in January.

If you’re not sure you were given the correct SSI # from your employee’s you can verify them with the Social Security Admin at  http://www.ssa.gov/employer/ssnv.htm.  You have to log in and then you can verify up to 10 SS#’s at a time.

Federal 941 Deposits Require EFT

Effective January 1, 2011, the IRS is requiring ALL employer’s to make their 941 tax deposits electronically.  The only exception are those employer’s who pay the taxes quarterly.  Banks will no longer accept tax payments with a coupon.

This is an easy task with QuickBooks Payroll.  If you’re on Intuit’s Assisted Payroll or use some other payroll processor, they already do this for you.  BUT – If you’re on QuickBooks Do-It-Yourself payroll you will need to Add e-Pay to your tax payments.  This is a FREE service with Enhanced DIY Payroll and really easy to set up.
